Hi all, as highlighted above, I would like to understand for the listed Notification Templates how are they triggered? (i.e. is there a specific workflow which triggers these notifications?)

  1. For reminder notices: Work Item Reminder
  2. For escalation notices: Work Item Escalation
  3. For work item comment notices: Work Item Comment
  4. For work item assignment notices: Work Item Assignment
  5. For work item assignment removal notices: Work Item Assignment Removal

There isn’t a specific workflow for this because workitems can be generated in various scenarios, such as when you raise an access request, conduct an access review, or launch a workflow with approvals or a form. In any situation where a workitem is created, you can find workitem settings related to these notifications.

:one: Work Item Reminder

  • Triggered when a pending Work Item reaches its reminder threshold.
  • The reminder settings are usually configured in:
    Global Settings → Identity IQ Configuration → Work Items.
    Certifications have their own settings when configuring them.
  • No specific workflow triggers this directly; it’s managed by IdentityIQ’s internal scheduling system.

:two: Work Item Escalation

  • Triggered when a Work Item is not completed within the escalation period.
  • The escalation logic is often managed within workflows like Approve and Provision Subprocess or custom workflows that handle escalations.
  • Configured in the Work Item settings (from step 1) or within custom approval workflows.

:three: Work Item Comment

  • Sent when a user adds a comment to a work item.
  • Typically handled internally by IdentityIQ’s task notification engine when a comment event occurs.

:four: Work Item Assignment

  • Triggered when a Work Item is assigned to a user or role.
  • This is usually done in workflows where approvals or tasks are assigned dynamically.

:five: Work Item Assignment Removal

  • Triggered when a Work Item is removed and reassigned to another user.
  • Similar to “Work Item Assignment,” this is typically triggered by a workflow step where an item is reassigned or revoked.
