Unable to Assign Non-Admin Users/Roles in Contributors Step – NERM Workflow Issue

Hi Folks,

I’m currently working with the NERM workflow and trying to understand the behavior of the Contributors step.

I’ve configured this step to assign both an Owner and Contributor with specific roles when a user is created. However, I’m encountering a problem: when the workflow reaches the Contributors step, I’m only able to assign users who are NERM Administrators, and I can only assign the NERM Admin role. No other users or roles appear as assignable options.

Even though the users I’m trying to assign do exist in the system and have the necessary permissions, they simply don’t show up. When I try to search for other users or roles, the dropdown only displays a “None” value.

Am I missing a setting or permission configuration that would allow me to assign non-admin users or different roles in this step?

Do those other “non-admin” users have a Profile AND either a Lifecycle or Collaboration User role?

I believe they must have a role tied to them before they can appear in the Contributor search/select.

yes, those users have both lifecycle roles and Collaboration roles. However those users still not showing up in those fields!

Hmm. Might want to check the attribute permissions, for email , first name, last name, and display name.

What Colton mentioned is correct. The User must be Active and have at least one role in order to appear in the Owner or Contributors searches. However, all User Roles should be available under the Contributor Role search… In your screenshot, you are searching for a “Coll” role - are you able to provide another screenshot for the Role that starts with “coll” and confirm it is Enabled?

@ZackTarantino-Woolson @coltonulmer @DerekHackbardt I’m not sure. I’ve created a lifecycle/profile user and assigned few roles and the same user exist in collaborator users and has collaborator roles. In my lifecycle workflow added Contributors step, added the same roles which are assigned to users. however, those users not showing up in the form when workflow was launched.

if this is not the right way, can share any example workflow or configs?

Main thing to remember here is the Contributors action step only allows you determine if the requester can determine Owner/Contributor(s) and who the Performer is (requester , manager, sponsor, role etc).

Therefore, you have some issue(s) with the following:

  • Check your attribute permissions (at least VIEW) of the role you have for basic attributes (first name, last name, email etc)
  • Check and ensure the users you have created are ACTIVE
  • Check if user(s) contain/assigned at least 1 role
