IIQ: Display list of approvers

We have a entitlement setup with ‘App Owner’ approval mode and a workgroup has been selected for ‘Owner’ option thus, approvals are going to all members of workgroup being selected for ‘Owner’ option.

Problem: Access request gets submitted for the entitlement and a requestee does see name of approval group i.e, workgroup being selected for ‘Owner’ option but doesn’t see who are members of the approval group.

Questions:

  1. Is there a way to display list of members of approvals (workgroup) to requestee?

  2. How to make requestee aware of approvers for the access request being submitted ?

1. Is there a way to display a list of members in the approval workgroup to the requestee?

Out of the box (OOTB), as far as I know the access request UI does not provide a straightforward way to display this information without some customization. Whether you want the requestee to see the workgroup members often depends on organizational policies.

Possible approaches:

  • Create a notification that sends a list of approvers to the requestee upon submission.
  • Develop a custom view or feature that allows the requestee to view workgroup members, accessible via a Quicklink or similar functionality.

2. How can the requestee be made aware of the approvers for their access request?

  • Send an offline notification: Provide the requestee with an email or message listing the approvers. However, keep in mind that the list could be extensive, so even sharing a static, high-level summary might suffice.
  • Custom workgroup view: Implement a custom feature that lets the requestee view the approvers dynamically through a link or portal. This approach may offer more clarity and flexibility compared to static notifications.

Hi @rsingh7 ,

we sometimes follow the approach to apply a naming scheme to workgroups
which contains the workgroup members!
We are aware that this introduces maintenance efforts in case the workgroup membership changes but in some cases this approach might work.

In general you may want to ask the question why the requester needs to know how shall apprve the request?
To bother them via Teams Chat, that there is an approval item pending?
Probably not the best solution :wink:

You may want to think about implementing clear guidelines about approval processes and max. processing times, implementing notification/escalation procedures etc.
