Certification Section of Admin Documentation does not mention the Email option

What problem are you observing?

In the Admin Documentation, the Certification section does not describe what the Email options does on the Certification View screen. The Email button is visible when a Cert Admin checks the box next to a manager’s name, or when they click the “…” at the end of the row. The use of this is not in the documentation found here: Certifications Overview - SailPoint Identity Services

The reason this came up was I was trying to figure out what the email did. I thought it was to send the reminder email to the user from IDN, but when I click on either, it tries to open an email client on my machine, which I believe is incorrect.

What is the correct behavior?

The documentation should describe all features that are in the current system

You can view information about the email option in Direct Connect Source Remediation.

I’ve also created a ticket for us to review our Certs section to ensure the options are clear.

Rachel - Thank you for that link. I somehow missed that section when I was searching for it.

Is this email functionality only intended to be for use in Direct Connect Source Remediation as the headings suggest? It seems like it would be useful during the certification to have additional reminders for users as well.

@rachel_rigdon Some additional information related to what steps I did before creating this for feedback:

The first thing I attempted to do was find it within the Certification section of the documentation. I was expecting to find it near the Reassignment documentation was, since it is available on the same screens, following very similar processes. I then expanded my search through the other certification sections, but did not see it when scanning that section you referenced.

I then tried to search for “email” in the Search box. This returned 122 results that I needed to scroll through in the small drop down. When scrolling through this, as it updates to add more returned results, it often jumps up the page. The 2 times i searched this way, I didn’t see the result with section that you mentioned. After your message, I went back and went much slower to make sure I did not miss it. I did actually miss it again when scrolling down, but when I scrolled back up I found it was returned in the result. It would be more user friendly when searching the documentation if it could open the search results in the current window like most other programs, so we are not limited to the small drop down window. .

Additionally, I attempted to use Chrome’s search to search the page for the word “email”. This showed 104 results returned, but most of those results were in closed sections of the documentation window, and they did not open when clicking next. So it seemed like that was searching all visible and hidden documentation, not just the open section, which was not helpful.

I hope this feedback helps understand how I came to the conclusion that it was not documented.

Thank you so much for that specific information. We’ll add this to our ticket to review those docs and identify a better way to surface the email option in Certs.

We are working on an improvement to our internal search, although that is not on the immediate roadmap. This kind of feedback helps us know what to prioritize and where we can improve. :raised_hands:

Hi Geoff! I wanted to follow up with some of the changes we’ve made in response to your feedback.

We added a section about Reminding Reviewers to Complete Certifications.

We have also changed some of our search logic so that searching for “email” prioritizes documentation tasks, instead of our ~60 email templates. This should make it easier to find information about using emails within the product.
